I. POLICY/PURPOSE
The College of Human Medicine adheres to the university’s principles regarding allocation of space. Allocation of space is dynamic; in order to meet continually evolving programmatic and operational needs, space is reviewed on a regular basis and may be reallocated and/or reassigned as necessary. The CHM Assoc. Dean of Administration has authority and responsibility for the management of space in the building. This includes maintaining an accurate inventory of space, maintenance of space, allocation/reallocation of space, and maintenance of records to include occupants of specifically assigned spaces. If/when specifically-identified space (i.e., offices and workstations) has been allocated to a specific unit, that unit’s designated administrative lead will be responsible for allocation of space within the unit with the understanding that allocation/reallocation will be done in consideration of these broader guidelines. In alignment with university principles regarding space allocation, the following guidelines for the allocation of space in the CHM West Secchia Center, specifically offices and workstations, are provided.
II. SPACE ASSIGNMENT GUIDELINES
The intention is for these principles to guide our actions when assigning space in college-owned/leased buildings in Flint and GR as well as space occupied by dean’s office units on the East Lansing campus.
- One office/cubicle per person regardless of how many locations in which said individuals spend time working. Any exception requires a formal request outlining why more than one office is required with approval through unit/department hierarchy with final decision by the Associate Dean for Administration and the Dean.
- For those on-site at least two days per week, individual offices/cubicles will be provided. Priority for assignment of offices follows:
- Senior associate, associate and assistant deans, chairs and senior admin staff primary work location
- Full-time faculty and senior admin staff primary work location.
- Staff primary work location.
- Senior associate, associate and assistant deans, chairs and senior admin staff whose primary work location is someplace other than the building in question but maintain a regular presence in said building (at least one day per week).
- Part-time faculty primary location who are on-site for more than 20 hours/week.
- Full-time faculty and senior admin staff whose primary work location is someplace other than the building in question but maintain a regular presence in said building (at least one day per week).
- Staff whose primary work location is someplace other than the building in question who maintain a regular presence in said building (at least one day per week).
- Faculty and staff who manage sensitive data (personal and research) will have space available that provides a heightened level of privacy. However, the space will not necessarily include their name on a door.
- Office space will be an option for situations requiring an identifiable location for public or student-facing support services although the offices may be assigned to a team rather than an individual.
- Shared office space will be available for faculty and staff who do not have individual offices/cubicles for times they are in the office or at a location other than their primary location. With implementation of these criteria, offices/cubicles will open up to create more shared space. These spaces will be prepared with necessary equipment and supplies to ensure efficient work spaces and will be clearly marked as available/busy.
- Shared spaces will not be reserved but available on first come, first served basis. Significant numbers of spaces will be available so space should be available when needed by faculty/staff.
- These principles will be revisited on a regular basis to adjust to changes in hybrid scheduling, employee behavior and needs of the units, departments, college and the university.
III. PROCEDURES
3.1 To request allocation of additional space, submit request in writing to the Director of Operations. Requests must include:
- Reason for the additional space allocation
- Type and amount of additional space being requested (e.g., one office, one assigned workstation, etc.), following the general guidelines described above. If the request is not consistent with the guidelines, justification for the request must be provided,
- Names and classification of the faculty/staff who will occupy the requested space
- A brief description of what actions have been taken in an attempt to accommodate the need for additional space within the unit’s currently-assigned space.
3.2 Exceptions to these guidelines may be made by the Secchia Center Director of Operations in consultation with the Secchia Center Space Allocation Committee, (Associate Dean for Administration, Senior Associate Dean for Research, Associate Dean for Academic Affairs, and the CHM Director of Operations.)
