FAC-1 Postings and Signage

Persons Affected: Faculty, Staff, Students and Visitors at the Secchia Center, Grand Rapids Research Center, Doug Meijer Medical Innovation Building (5th Floor), Flint Campus Building and CHM spaces in East Lansing.

I. PURPOSE

Signage, postings, and literature in university buildings contribute to the open exchange of knowledge and information. Knowledge and information shared through signage, postings and other literature must be disseminated in ways that uphold the standards and the integrity of the institution; inform rather than confuse; are not excessive; promote the general welfare of students, faculty, staff and visitors; and protect the public and private investment of buildings and open spaces. This policy provides guidelines for the distribution and posting of signage and printed materials in the Secchia Center, Grand Rapids Research Center, Doug Meijer Medical Innovation Building (5th Floor), Flint Campus Building and CHM spaces in East Lansing. This includes, but is not limited to the following: flyers, brochures, announcements, photos, banners, event postings, advertisements, magazines, and other materials.

II. DEFINITIONS

2.1 Postings: flyers, announcements, photos, banners, event postings and advertisements.

2.2 Literature: brochures, magazines and other materials that are not official publications of the College of Human Medicine.

2.3 Sign Holders: Designated holders for 8.5 x 11” printed flyers located in the restrooms, elevators and walkways.

III. POLICY

3.1 All postings must adhere to Michigan State University standards for appropriateness.

3.2 Postings by college faculty, students and administration must follow College of Human Medicine branding guidelines.

3.3 Postings are permitted only in specifically designated areas:

  • Secchia Center Bulletin boards located on each floor and in the student lounge
  • Flint Campus Building: Bulletin boards
  • CHM spaces in East Lansing: Bulletin boards in Radiology basement, Clinical Center student study lounge, and Fee Hall

Designated areas requiring preapproval:

  • Secchia Center and Grand Rapids Research Center sign holders in the elevators, walkways and restrooms

3.4 The use of scotch tape, masking tape or any other adhesive is prohibited.

3.5 All postings and literature are subject to removal at the discretion of the Dean and his/her designees, such as the Senior Communications & Marketing Officer, at any time.


IV. PROCEDURES

4.1 Bulletin boards, including those in the student lounge, are intended for postings or literature related to student-focused activities and initiatives. It is the individual’s responsibility to remove bulletin board postings within three business days following the event or end date. Must adhere to guidelines in III. Policy.

4.2 Sign holders in elevators, walkways and restrooms are intended for communicating information about events within the building, college-wide initiatives and general info relevant to faculty, staff, students and guests within the building. Seek approval before placing materials in sign holders. Postings must adhere to guidelines listed in III. Policy.

4.3 The following approval process is as follows:

  1. Requestor sends materials to the Senior Communications & Marketing Officer
  2. Materials will be reviewed for adherence to university and College of Human Medicine standards for appropriateness and branding
  3. The requestor will be informed of:
    1. the decision to post/display or not to post/display
    2. the specific date range for display
    3. the designated areas to display materials
  4. If approved, requestor will receive a copy of materials stamped for approval. Requestor is responsible for distributing materials in the designated areas and removing the posted materials within three business days of the agreed upon end date
  5. If denied, the requestor will receive an explanation for the decision
