2019 Med Marketing Minutes

  • Geri Kelley (Communications Department) welcomed the group and shared plans for meeting quarterly.


  • All attendees introduced themselves and shared their responsibilities relating to marketing/communications/web/social media.

Social media directory

  • Amy Nienhouse (Communications Department) asked the group to review the social media directory and let her know if any updates are needed.

Branding updates from Geri Kelley

  • It’s been a busy fall – big announcements including the EVP and Aron as interim, Doug Meijer Innovation Park, two Early Assurance Program agreements, Just in Time Medicine web refresh, Midland Daily News thank you ad for practitioners and health partners.
  • Holiday cards are on order, approximate delivery is December 12.
  • New PowerPoint templates are coming soon. There will be several options with color combinations. Once they are finalized, they will be distributed in the Communications D2L module and through the file storage associated with our Med Marketing group on Microsoft Teams. Adrian De Gifis (Southeast Michigan Campus) asked for a Google's Slides template, since Ascension is replacing Microsoft products with G Suite by the end of the year.
  • The Communications Team will also work on updated poster templates.
  • Flyer templates are meant to be a resource, but don’t have to be used exclusively. If you have the design capabilities to create your own, you are welcome to as long as it meets university and college brand guidelines.
  • External marketing pieces should include all three elements: #1 - University, #2 – College, #3 - Department/unit.
  • Brand Standards reference guide coming next year.
Content calendar
  • Amy Nienhouse & Nadija Kadunic (Communications Department) discussed the content calendar as a way to share what stories and social media posts are in progress and when they’ll distributed. Updates will be ongoing, so check back often and suggest content!

Give Green Day

  • Sarah Enlow (Advancement) shared an update on this year’s Give Green Day (December 3), including a goal to raise $5K for student scholarships. The communications plan includes email outreach and social media posts.
  • Reach out to Sarah if you have any advancement questions.

Photo permissions in clinics

  • Liz Beckman (Upper Peninsula Region Campus) asked how others handle photo waivers in hospital/clinic settings. Others shared that students fill out the hospital and college waivers, patients have a separate form, special event attendees sign waiver during registration or at the event. All paper-based, but the group is open to hearing other options.
  • The group also discussed how to accommodate no-photography students when hospitals require photo rosters to identify medical students. Geri Kelley will investigate further.

Roundtable discussion

  • How do we add faculty to University Communications list of experts? Geri will find out. Our new contacts for health stories are Kim Ward and Beth Brauer-Delaney.
  • A communications strategic plan was proposed before Dr. Beauchamp was appointed EVP, now it’s under review with Interim Dean Sousa. Group discussed how units can align with master plan. The strategic plan and metrics reports can be agenda items for next meeting.
  • College web accessibility progress was discussed. With limited resources, we are a bit behind but unit sites are being converted as much as possible, new sites are audited as they are created. Contact Nate Evans ( for information about working with student accessibility interns. Other accessibility resources available here.
  • It will be at least a year (or more) until the university’s new Sitecore content management system is ready.
  • Is video production equipment available for other units to borrow? Geri to check into university resources.
  • Would the HealthTeam be willing to attend a meeting to provide an update on rebranding, communications plan, etc?
Med Marketing on Teams
  • After the meeting, Amy Nienhouse created a Med Marketing group on Teams and added all members. Teams group allows everyone to share updates in between quarterly updates, distribute resources, etc. We’ll upload all templates into the Team’s file storage for quick access.
